Legal Licensing & Reporting Specialist | Hybrid Opportunity (preference given to candidates that live in the greater Reno, NV or the Las Vegas, NV area)

General Summary:

Under the general supervision of the Manager, Licensing and Reporting, the person in this position provides the highest level of administrative, clerical, technical and operational support for the legal team.

Essential Duties and Responsibilities:

  • Assist with state corporate filings, state regulatory filings, and license renewals. Activities include; tracking and updating report/license requirements, calendaring due dates, and working with internal and external clients to draft and finalize filings for the legal team.
  • Assists staff with special projects.
  • Opens, maintains, and closes files upon completion of projects.
  • Maintains confidentiality.
  • Assists staff in keeping informed of changes in relevant laws and regulations.
  • Independently responds to letters and general correspondence of a routine nature.
  • Able to learn company systems.
  • Performs administrative and clerical duties in support of the department including accurately drafting and preparing correspondence, forms, reports, summaries and other communications as assigned.
  • Completes, reviews, and processes expense reports, invoices, and other accounting items as necessary.
  • Receives, date-stamps, reviews, and files/distributes mail, e-mail, and faxes daily and organizes, responds and/or calendar accordingly.
  • Communicates in a professional manner by telephone, email, memoranda, and written correspondence within the company and with outside regulators, vendors, and other stakeholders.
  • Assist with problem or complaint resolutions from internal/external customers in timely and professional manner while adhering to company procedures.
  • Logs, compiles information and statistics in support of the department.
  • Makes travel arrangements and schedules appointments for staff as requested.
  • Assists staff in maintaining top-level internal and external customer relationships.
  • Support for the entire team with filing and organization of department records. Helps maintain filing systems as well as files, both hardcopy and electronic files.
  • Answers telephone in a professional and courteous manner and provides general information.
  • Other duties as assigned.

Job Requirements:

  • Associate’s degree in legal studies or insurance with 2+ years work experience in a law office/department environment that includes legal assistant/secretary, compliance, regulatory/administrative proceedings, contracts, licensing, litigation or commercial transactions or an insurance agency with experience in licensing and/or compliance.
  • Knowledge of organizational structures and functions.
  • Possess a solid working knowledge of Word, Outlook, MS Office, Excel.
  • Exercise tact and good judgment regarding confidential issues.
  • Excellent written and oral communication skills, listening, interpersonal, customer service, and telephone skills.
  • Excellent analytical and problem-solving skills.
  • Familiarity with general office procedures, methods, and equipment including copier, fax and telephone systems.

Preferred

  • Legal background - law firm experience
  • Notary Public or able to become a Notary Public within 6 months
  • Paralegal certification

Work Environment/Physical Demands:

This job operates in a remote, “work-from-home” environment; this role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines

  • This is largely a sedentary role; however, some mobility is required
  • May work early, late, or occasional weekend hours to accommodate business needs
  • Occasional lifting of a maximum of 30lbs.
  • Minimal travel to other office locations/meeting locations occasionally necessary
