About this Position:

We are seeking a highly organized and detail-oriented Operations Specialist to support the client in managing and maintaining programs and projects. This remote role will involve working closely with the team to ensure accurate data management, assist in administrative tasks, and provide support in managing critical information within the database.

Key Responsibilities:

  • Assist in maintaining, updating, and managing the projects or programs database.
  • Provide administrative support to the team, including scheduling meetings, managing communication, and preparing reports.
  • Assist with reviewing client transmittal forms for accuracy and completeness that are submitted within the project database.
  • Process data and documentation for projects, ensuring compliance with regulations and guidelines.
  • Assist with uploading client data, search results, to the secure file transfer portal (sFTP) for retrieval by the client.
  • Submit requests to the IT department for account creations on the sFTP. Track client logins and passwords. Respond to client requests for logins and passwords. Assist clients with login issues.
  • Assist with identifying areas where automation can be implemented to improve efficiency and assist in the development, testing, and running of the automations.
  • Assist with communicating to clients the status of their applications and providing guidance on when results can be expected.
  • Coordinate with various teams to ensure timely updates and proper documentation within the database.
  • Handle sensitive and confidential information with the utmost discretion.
  • Assist in organizing and preparing materials for meetings and presentations.
  • Provide general administrative support as needed, including filing, document management, and data entry.
  • Collaborate with team members to identify areas for process improvement within the project database management system.

Qualifications:

  • Associate's or Bachelor's degree in Business, Management, Public Health or any related field preferred.
  • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and data management systems.
  • Experience working with databases or in a research/clinical setting preferred.
  • Detail-oriented with excellent organizational and multitasking skills.
  • Ability to work independently and manage time effectively in a remote work environment.
  • Strong communication skills (both written and verbal) and the ability to collaborate with remote teams.
  • Experience with sensitive data handling and confidentiality is a plus.
